On May 8, 2025, the European University Sports Association (EUSA) held the second EUSA-EUC Webinar, a crucial follow-up from the EUSA Convention and after the first Webinar in March.

The second webinar aimed to equip Organising Committees (OCs) of the upcoming European Universities Championships (EUC) with essential knowledge and best practices to ensure successful event planning and execution.

The webinar saw around 50 participants, representing different EUC Organising Committees from all over Europe and it was moderated by Liam Smith, EUSA's Director Sports Events.

Key topics included Registration and Accreditation, Result Management, Live Streaming, Volunteers, Ceremonies and Protocol, Handbooks, and General Technical Meetings (GTMs). The session also featured visual highlights, including the official logos of the EUC 2025, adding to the event’s visual identity.

To start the webinar, Aleksandra Andreeva, Sports Administrator, presented the registration and accreditation processes, emphasizing the importance of compliance with EUSA’s rules and regulations. OCs were guided through step-by-step procedures, from quantitative and individual entries to travel planning and continuous communication with participating teams.

Miha Zvan, EUSA Sports Manager, showcased EUSA’s centralized result management system, an integrated platform within the EUSA website that will manage live scoring, end results, and schedules for over 2,000 games at EUC 2025. He emphasized the importance of maintaining accurate and real-time updates, both for live and non-live sports.

Salvatore Sisca, Head of Media and Communications, delivered an insightful presentation on streaming at the European Universities Championships (EUC) 2025, emphasizing the importance of maximizing the capacities of the venues to enhance broadcast quality and viewer experience. He encouraged creativity in streaming arrangements, highlighting how innovative approaches can significantly elevate the visibility of the event. By presenting concrete examples of best practices and showcasing the benefits of effective streaming, such as increased engagement and professional event coverage, Sisca demonstrated the value of strategic planning in this area. He also underlined the importance of adhering to EUSA’s requirements to ensure consistency, quality, and compliance across all streamed content.

Hristina Hristova, EUSA’s Projects and Communications Officer, shared best practices for volunteer management through the EUSA International Volunteer Program. She highlighted the value of engaging volunteers before, during, and after the event to ensure a positive experience for both volunteers and participants. Key aspects related to volunteer coordination and engagement were presented to provide practical guidelines for Organising Committees (OCs) on how to maintain an effective and streamlined volunteering programme.

Sara Rozman, EUSA’s Director of Education & Operations (COO), discussed the essential elements of protocol for opening, closing, and award ceremonies. She emphasized the importance of following EUSA’s protocol recommendations and award ceremony guidelines, ensuring clear organization, proper stage setup, and respectful recognition of athletes and teams.

With this presentation, it was emphasized the importance of flexibility and strict adherence to EUSA’s protocol recommendations and award ceremony guidelines. Organizing Committees were advised to stay prepared for any changes and ensure that all protocols are followed accurately.

Eszter Gulyas, EUSA’s Sports Coordinator, delivered the final presentation, focusing on the general aspects of handbooks and GTMs. She provided an overview of competition information, rules and regulations, competition venues, and the importance of GTMs in ensuring clear communication among all stakeholders.

The EUSA support team will continue to provide guidance, with representatives on-site during EUC 2025. The Organisers Portal will remain a valuable resource for OCs, offering access to key documents, guidelines, and support contacts.

The webinar concluded with final recommendations for OCs, encouraging proactive planning, attention to detail, and readiness for unexpected challenges. EUSA emphasized the importance of adhering to their guidelines, ensuring a smooth and successful championship experience for all.
